SSO: Admin Quick Start Guide

SSO

Overview

SSO is your central login credential across all Storable products and services. It provides a secure, single sign-on experience for administrators and facility managers to manage users, control access, and maintain compliance within the Storable ecosystem.

For more in-depth instructions, this guide walks you through setup, user management, and troubleshooting to help you get started quickly.

Important: Once SSO is enabled for your organization, it applies to all facilities under your account and cannot be turned off. Before enabling, notify your organization to ensure a smooth rollout.

Getting started

What You’ll Need

  • Admin access:

    • Sitelink: “Corporate Administrator” role

    • Edge: “Manage Users” Permission

    • Easy: “Owner” role on every site at the organization.

  • A valid email address to associate with your SSO User Account.

Activate SSO in your software

  1. The steps to trigger the SSO enablement banner depend on which software you use:

    • Sitelink: Navigate to Corporate Control Center > Settings > User Settings.

    • Edge: Navigate to the Corporate level > Settings tab > Users.

    • Easy: Navigate to Setup > Users & Roles.

  1. Click Enable SSO from the banner, then log out.

  2. Log back into your software. After entering your credentials, you’ll see a setup prompt.

  3. Check “I confirm that I can set up SSO for my company” and click Continue.

Creating your SSO User Account

  1. Select I Do Not Have an SSO User Account. (If you already have an SSO User Account, please select “I already have an SSO User Account.")

  2. Enter your login details:

    • Username: Must be a valid, unique email address

    • Password: Minimum 12 characters, with one letter, one number, and one special character

    • Passwords expire every 90 days (per PCI DSS requirements)

  3. Enter your Profile Information (first name, last name, security question, and answer)

  4. Click Create Account.

  5. You’ll see a success message. Click Continue.

  6. Log in with your new credentials and click Continue.

Click Continue to proceed.

Step 2: User settings

Allowed Username Domains

  • Require all users to use the same domain (e.g., @yourcompany.com)

  • Add domains by typing and pressing Enter

Shared Emails

  • Choose whether users can share email addresses

  • Shared emails are allowed, but individual emails are recommended

Shared email limitations:

  • Each user must have a unique username (formatted as an email).

  • Users cannot reset passwords via email.

  • Too many failed attempts require admin unlock.

Click Submit to continue.

Step 3: Security settings

  • Lockout Policy: Option to lock users after a set number (1–10) of failed attempts

  • MFA Methods: Select which authentication types to allow

Click Submit to proceed.

Step 4: Configure enablement

  • Optional: Current users can skip setup temporarily (prompted at every login).

  • Required: Users must set up SSO immediately to access the software.

  • Note: All new users added after enablement must use SSO even if set as Optional.

Once you make SSO Required, this setting cannot be undone.

Next steps

  • Direct Users to Log In: Do not manually add existing users to the SSO Portal. Instead, have them log in to their software normally; they will be prompted to create their own SSO accounts.

  • User Access Audit: Once users have migrated, log in to portal.storable.io to audit permissions and ensure everyone has the correct Access Profiles.

  • Ongoing Management: Moving forward, you will add, delete, or deactivate users in the Storable SSO Portal, while continuing to manage specific software permissions (roles) within Edge, SiteLink, or Easy. To learn more: SSO: User Management
