What is the Proof Program?


The Proof Program is available exclusively to operators enrolled in Auto-Protect Max.


With Auto-Protect Max, tenants who have their own private insurance can opt out of automatic enrollment by submitting proof of their existing coverage. However, collecting and entering that proof into your property management software takes time, especially when you're managing a busy front desk.


The Proof Program handles this process on your behalf. When a tenant submits their private insurance documentation, our administrative team enters the policy details directly into your software, cancels any store-sponsored coverage if applicable, and confirms completion with the tenant. You don't need to do anything.


What the Administrative Team Does


When a tenant reaches out to us, the Proof team:

  1. Locates the facility and tenant in the system.

  2. Updates the tenant's record in your software with their private insurance details and cancels any store-sponsored coverage if applicable.

  3. Contacts your facility if a refund or ledger credit needs to be processed.

  4. Sends the tenant a confirmation that their file has been updated.


How the Team Communicates with Tenants


The Proof team communicates directly with your tenants when they submit their proof of insurance. Examples of some of the reasons we will communicate with your tenants include:

  • Confirmation of acceptance - Sent once the policy details have been entered into the software. The tenant is informed that their file is up to date and no further action is needed at this time.

  • Expired policy - If the submitted policy has already expired, the tenant is notified and asked to provide a current declarations page.

  • Missing declarations page - If the tenant submitted the form but did not attach their actual policy document, the team will request the declarations page directly.

  • Auto insurance submitted - If the tenant submits an auto or other vehicle insurance policy, the team explains why it cannot be accepted and asks for a homeowners, renters, or storage insurance policy instead, unless the unit is an outdoor parking space, in which case an auto or vehicle policy is acceptable.

  • Incomplete documentation - If the declarations page is missing required details, the team will reach out to request an updated or corrected document.

  • 3-day follow-up - If the team is waiting on additional information from a tenant and has not received a response, they follow up after three days with a reminder.


When We May Reach Out To You


In most cases, the Proof team handles everything without needing to involve your facility. However, there is one scenario where you will receive a communication from the team:

  • Refund required - If a tenant who is currently enrolled in your facility's insurance or TPP program submits their private insurance details, the team will email your facility to request that you cancel the tenant's enrollment and process any applicable refund or ledger credit for unearned premiums. The email will include the tenant's name, unit number, the private policy effective date, and the actions needed. Once your team has completed the cancellation and refund, the Proof team will enter the tenant's private insurance details into your software.
